Background The Master Technology Plan presented at the April 2021 Committee of the Whole Meeting included phase two of the copier/printer fleet replacement for the middle and high school levels.

Summary: The district implemented a print management solution six years ago. This is the second phase of a refresh for that plan.

There are two parts to this approval-- (1) Leasing of equipment and (2) a maintenance agreement for the usage and repair.

(1.) The lease is for sixty-six (66) smaller multi-function printers (MFP) in black/white and color. These smaller MFP printer models will replace aging printers in schools. The lease is a 60 month lease and all equipment will be owned by the district at lease end. The print management software for these additional units is also included in this lease and the district will own the software at lease end.

(2.) The maintenance agreement covers service and repairs for the additional seventy-one (71) devices. This service includes parts, labor and supplies of the units. For this service the district will pay a click charge on all prints and copies made on the devices. Estimated expense on this portion is around $25,000 per year not factoring in savings by reduced printing.

The dollars needed for this plan are not an increase in the copy/print budgets maintained by the Technology Budget.
Funding: The total cost of the lease is $218,039.40, payable in equal monthly payments of $3633.99, and is allocated in the Technology Budget.
