Policy:
Background The district print shop is responsible for determining the quantity and the various types of paper that are needed to keep up with the demand for district-wide printing services. Orders for paper are placed as needed. In December, the Board approved bids from three (3) vendors for these similar types of paper at an estimated total cost of $85,033.90, and these contracts expire on June 30, 2025.

Summary: As the national supply and demand of paper continues to fluctuate, it was determined that a 6-month contract (versus a 12-month contract) would better serve and attract more vendors.

Legal notice was published, and bid packages for a 6-month contract were sent to multiple vendors. In the bid document, we specified various brands for multiple types of paper. We also sought bids on various sizes and types of envelopes and labels. Three (3) vendors responded to the bid.

Attached are the bid results. The lowest bid prices for various items are recommended by the highlighted cells. The prices will be effective through December 31, 2025.

Recommendation: It is recommended that the Board of Education award various paper, envelopes, and labels to vendors (as highlighted on the attached bid results) as follows: Garvey’s Office Products in the estimated amount of $13,477.40; Lindenmeyr Monroe in the estimated amount of $66,808.65; and Veritiv Operating Company in the estimated amount of $2,863.75, for a total estimated amount of $83,149.80.
